SCMTS Santa Cruz Mountains Trails Stewardship (SCMTS) is a nonprofit trail stewardship organization dedicated to trail building, responsible land management, and education. We work to support, preserve, and expand sustainable trail access throughout the Santa Cruz Mountains area. We’re trail builders, resource management experts, and outdoor enthusiasts who are driven to provide equitable, and sustainable trails for all users. Position Summary This position reports to the Director of Construction and is expected to be on a hybrid arrangement including, at least, Monday and Wednesday in the office in Santa Cruz. Travel to various job sites in Santa Cruz and surrounding counties.


Responsibilities
Project Management

Responsible for upholding the quality standards of SCMTS projects.
Coordinate and schedule project mobilization activities with the superintendent and deliveries of supplies, materials and equipment.
Develop project schedules
Develop, identify and track critical path items to maintain the schedule of the project.
Maintain close communication and regular updates of project status to the Planning/Construction Director (work completed, schedule, costs, needed changes, issues, etc.).
Work closely with project leads to solve problems in the field and make adjustments to plans. \
Schedule and help the Superintendent facilitate any required surveys or inspections as required by environmental or building permits.
Coordinate with Superintendent on development of RFIs, change orders, and project submittals.
Responsible for post construction walkthroughs and punch list completion.
Lead team through the post project review process and document.
Provide input related to on site project implementation during project post-mortem review.


Personnel Management

Oversight of implementation staff to ensure work quality and project specifications are being met, daily project reporting is completed, and environmental practices are being followed.
Educate Superintendent and crew leads to increase project management capabilities and ability to scale to backfill administrative redundancies
Review approved timecards and ensure accurate job labor cost code and trade coding.
Ensure public works project compliance with apprenticeship requirements Manage client/partner relationships
Primary point of contact for partner/client, especially for administrative and high level communications.
Coordinate with partner implementation staff for project logistic and access needs.
Regularly communicate project schedule and budget status and any anticipated changes to clients.
Communicate client desires to superintendent and implementation team


Contract Administration

Summarize and communicate project contractual/permit/environmental requirements to the Superintendent
Ensure reporting and documentation requirements for grant funded and public projects are fulfilled
Obtain and file certificates of insurance for SCMTS and subcontractors/consultants.
Maintain organized project folders in Google Drive.
Work closely with the Superintendent to develop and submit RFIs, submittals, and change orders.
Manage subcontractor administration including obtaining quotes, developing scope of work and schedule, developing contracts, obtaining insurance certificates.
File DAS140 form for apprentices at contract award for prevailing wage projects.


Financial Management

Prepare and review invoices for fee for service or grant funded projects.
Regularly update project budgets for revenue/expense forecasting.
Develop and maintain estimates vs. actual reports for projects.
Review and check coding of expense reports.
Provide input related to project financial and administrative performance during project post-mortem review.


New Project Development

Work closely with the Trail Planning Director, Account Manager, and Superintendent on proposal development and estimating for new projects.


Administrative Duties

Participate in SCMTS staff meetings and development activities.


Status, Compensation, and Benefits

This is an exempt full-time staff position with a salary range of $75k – $90k per annum depending on experience, with a possibility of part-time arrangement. The probationary period is 6 months. For full-time positions, SCMTS provides:

A generous 4-day week working pattern running from Monday to Thursday for full-time employees (32 hours/week)
